Privacy Policy

ReserveAgent ("we", "us") provides a WhatsApp-based booking assistant that hotels, short-term rentals, and other reservation-based businesses ("Hoteliers") use to communicate with their guests ("Guests"). This policy explains what information we collect and how it's used, for both Guests messaging a Hotelier's bot and Hoteliers using our service.

What we collect

• WhatsApp phone numbers of Guests messaging a Hotelier's bot, and of Hotelier staff configured to receive escalation alerts.
• Message content sent between a Guest and the bot, and between staff and the bot when relaying a reply to a Guest.
• Booking details a Guest provides in conversation: arrival/departure dates, number of guests, room preference, full name, and email address, when given.
• Hotelier account and property configuration: room types, channel-manager (e.g. Channex) credentials and identifiers, and staff phone numbers, as configured by the Hotelier.

How it's used

Message content and booking details are used solely to operate the booking assistant for the Hotelier the Guest is messaging: understanding what a Guest is asking for, checking room availability and pricing, and creating a reservation on the Hotelier's behalf. We do not sell this data or use it for advertising.

Who we share it with

• Meta / WhatsApp Business Platform, to send and receive the messages themselves.
• Google (Gemini API), to interpret Guest messages and draft the assistant's replies.
• The Hotelier's channel manager (e.g. Channex), to check availability, pricing, and create the reservation.

Each of these processes data under its own terms as our data processor for this purpose; we do not otherwise sell or share Guest or Hotelier data with third parties.

Retention

Conversation history is retained on a rolling basis (the most recent messages only) to give the assistant context for an ongoing conversation. Booking and escalation records are retained for as long as needed to operate the service for the Hotelier.
